The Premises & Recreation Sub-Committee of West Bergholt Parish Council met on 6th February when, among other items, they discussed Health & Safety, general facility amenities, equipment and repairs, Hire Charges, Football Clubs and Orpen & John Lampon Halls Toilets.

Minutes of the last meeting on 6th January 2017 were agreed.

Matters from Last Meeting

2.1 Health and Safety:–Fire extinguisher course – VBC/LW earmarking course in the spring and will advise relevant hirers in due course. VBC/LW

Clerks & Administrator’s Report

3.1 John Lampon Hall Toilets – VBC reported the Electrician is back to work following his operation and will complete the work/provide quotes this month. VBC
3.2 Kitchen – MH reported that it was recommended not to raise the kitchen sink.  The unit legs were adjusted to the maximum.
3.3 John Lampon Tables/upstairs tables – VBC advised tables have now been ordered.  VBC wanted confirmation that that 158 chairs were adequate to cover the Halls need and it was agreed currently it was.
3.4 Hall Flooring – VBC chased quote, unfortunately not available now.  VBC has another floor expert quoting.  MH advised he has shown two experts round and they will be asked by MH to forward their quotes to VBC for comparison. VBC
3.5 Dog Signage – The Handyman will be putting the signs up this month.
3.6 Hall Border Tidying – LW collected various plants from CBC and need now to get them planted ASAP.  BB to contact LW to discuss an action plan to get the borders tidied and plant up. LW/BB
3.7 Projector – VBC to give model details to MH to obtain quote for replacement.  BB also to look into other options. BB/MH
3.8 Boiler – There have been a few issues which currently have been resolved but VBC will speak to the plumber to seek advice whether a new boiler is needed for both the JL Hall and Orpen Hall. VBC
3.9 Bluebells/Orpen Players Meeting – BB will provide VBC with dates to organise annual meetings. BB/VBC

2017/2018 – Hire Charges

4.1 Parish Council agreed to proposed hire charges and VBC can now implement these and advise hirers accordingly. VBC

West Bergholt Football Club and Bergholt Heath Youth Football Club

5.1 MH reported meeting went well and that parties involved were content. BB/MH
5.2 At the meeting an issue re usage of field non-season to be amended on draft License. BB will update and give to Mick Bell for consideration. BB

Any Other Business

6.1 Skip Signage – It was agreed in the past that more keys would be obtained and that this will sort out the misuse of the skip. LW
6.2 Orpen Players Email – BB read out email received about various cleaning issues – this will be discussed at the annual meeting. VBC
6.3 Hall Administrator Appraisal – BB/LW will meet with VBC to carry out. BB/LW/VBC
6.4 Ladders – VBC will contact JGR to see how best to proceed to comply with Health and Safety in obtaining replacement ladders, if needed. VBC
6.5 Orpen Hall Toilets – MH brought up a query about the ladies toilet seats that the fittings are becoming “loose and swiveling” and require attention. VBC to speak with the cleaner to seek clarification, VBC not knowing of any issues with such. VBC
6.6 VBC asked for confirmation on charging the CBC for hiring the JL Hall for Election Day on 4th May 2017.  Price was agreed and VBC will advise and complete the necessary forms. VBC
